The Fine Print

Rules and guidelines for on-campus special events.

For events at Purdue University Fort Wayne that involve food but are not serving alcohol, you may use any licensed caterer or purchased food that has been prepared in a health-code-governed kitchen. Homemade items cannot be served at events on campus. See Purdue Food Service and Safety for more information. The Special Events office must be notified in advance if you intend to utilize a caterer and/or the catering areas.

  • All caterers must be self-contained.
  • Your catering contract must include all table linens.
  • You or your caterers are responsible for clean up immediately after the event. The facility must be left in “broom clean” or better condition. Caterers must collect all trash generated from the event on the night of the event. Failure to comply could result in additional cleaning fees.
  • Caterers may only utilize propane stoves or grills generating smoke outdoors only.
  • Caterers must remove all items at the end of the event including food and equipment provided by them.
  • Events on campus that are serving alcohol must use an approved campus vendor.

A Request for Alcoholic Beverage Service (AB-1) Form should be obtained from the Special Events office as soon as you select your caterer. The form must be completed, signed and returned to the Special Event Office at least four (4) weeks prior to your event date.

If alcoholic beverages are planned as part of your event, fees for security and additional staffing will be added to the rental contract.
Approved caterers are not obligated to provide bar service without also being awarded your food contract.

If you are intending to sell food as part of your event, you are required to select a vendor from the preapproved list. If the vendor you are wanting to use is not on this list, have them contact Chadi Braish at [email protected] as soon as possible and the vender will be sent the list of required documentation.

If your event is only serving food and will not be selling it, you may use any licensed caterer of your choosing. However, if your event is serving alcohol, you must choose from the preapproved alcohol vendor list above.

Any preapproved vendor that is selling food on campus is also required to submit a registration form for each event that they participate in.

Purdue Fort Wayne has signed exclusive rights with several campus vendors is primarily a Pepsi campus and thus only Pepsi products can be sold.

The university encourages programs and activities that enhance learning and stimulate creativity in youth. The success of these programs depends on careful planning that makes safety the highest priority. These procedures reinforce the safety of minors by requiring all programs that include minors as participants to be registered with the university. Registration includes certification by the sponsor of the program that all steps outlined in these procedures have been completed.

Sponsors of programs are not limited by these procedures from developing more stringent requirements for their program staff. Similarly, units of the university that serve other units and third parties in facilitating programs may supplement these procedures with additional requirements.

In order to reserve the Iris Children’s Garden (formerly known as the SCAN Garden), you should contact the Iris Family Support Center offices directly at 260-421-5002. After approval, renter will be instructed by to submit the online request form to Purdue Fort Wayne. After submitting the online form, you will receive an event confirmation and will be contacted by a Purdue Fort Wayne event coordinator. The Purdue Fort Wayne event coordinator will work with you to secure all details and plan the event.

Note: The rental time begins when the first service person arrives and ends when the last person leaves. Be sure to leave adequate time for your service personnel to clean up at the end of the event. Events may not extend past midnight. Please be considerate of others who have rented the venue by adhering to your scheduled access times.

Parking
Guest parking is available in parking lots 13 or 16. Handicap accessible parking is located directly beside the Iris Children’s Garden. All guests/participants must obey traffic laws at all times while utilizing the Iris Children’s Garden; including, but not limited to, maintaining emergency vehicle access to Iris Children’s Garden and fire hydrants.

Tent Policy
Purdue Fort Wayne maintains a strict tent policy. All tents must be secured by water barrels. In the event that only a staked tent will accommodate your needs, you will be required to sign a damage waiver prior to tent installation confirming that you understand that you are responsible for all damages/repairs. Additionally, a $250 fee will be assessed to renter to have utilities marked. All load-in/load-out times for tent placement must be confirmed with your Purdue Fort Wayne event coordinator prior to the event. No portable fixture can be staked or set-up in the grass that may disrupt or damage electrical/water/or gas lines.

Alcohol, Catering, and Trash Removal
Food service is allowed at the Iris Children’s Garden. However, no food or beverage of any kind will be permitted to be brought into the Purdue Fort Wayne event facility other than by the contracted caterer. The renter is fully responsible for all arrangements and any contract entered into with any caterer of the event. Except when alcoholic beverage service is included as part of the event, Purdue Fort Wayne’s open catering policy allows food service from any caterer licensed by the State of Indiana. No homemade items may be sold or served at this facility. There is no catering kitchen on site so all caterers must be self-contained. Your catering contract must include all table linens for meals and servings stations as well as adequate clean up immediately following the event. Caterers may only utilize propane stoves or grills generating smoke outdoors. Caterers must collect and remove all trash generated from the event on the night of the event. Any decorative displays must be removed at the end of the event. The Iris Children’s Garden does have a water fountain for public use. Renter and/or caterer shall leave the facility and grounds in the condition in which they were found. Failure to comply could result in assessment of cleaning fees.

Security and Alcohol Liason
If alcoholic beverage service is planned as a part of your event, only Purdue Fort Wayne approved vendors may be used. Certain criteria must be met to comply with the campus alcoholic beverage service policy. When alcoholic beverage service is planned as part of a rental event, fees for security and additional staffing will be added to the rental charges. A list of current approved caterers is available from the Special Events office. All alcoholic beverages must be served by a licensed bartender with a copy of their alcohol license on file. Absolutely no alcoholic beverages may leave the designated reception area for any reason. If serving or selling alcohol, renter/caterer are responsible for and must abide by all city, county and state alcoholic beverage control laws and regulations, and arrange for appropriate license(s), permit(s), and insurance certificate(s), which copies must be provided if requested to Purdue Fort Wayne Events Office at least five (5) business days prior to the event. Renter must also complete the Purdue Fort Wayne Alcoholic Beverage Service form and submit to Purdue Fort Wayne special events office no less than four (4) weeks prior to event. Renter is responsible for all consequences of guest behavior during and following the consumption of alcohol. Purdue Fort Wayne security and staff retain the right to limit the amount of alcoholic beverages being consumed by you or your guests. “Last call” for alcohol shall be at least forty five (45) minutes prior to the scheduled end of your event. All alcoholic beverage service ends 30 minutes prior to the end of the event.

Event and Display Decorations
The following decorations are specifically prohibited from the Iris Children’s Garden—confetti (static and cannons), glitter, stickers, spray paint, liquid paint, burning objects (except for candles with the flame enclosed in a glass container), rice, flower petals, streamers, or poppers. Bubbles may be used outside of building only. Balloons are allowed but are not permitted to be released outdoors within the school grounds. Strands of lights and lanterns may be used but must be removed at the end of the event.

All decorations and equipment must be delivered and set up on the same day as the event, and removed at the conclusion of the event unless other arrangements are pre-made with the Purdue Fort Wayne Special Events office. Purdue Fort Wayne reserves the right to bill the sponsoring party for removal of any left items. Please inform your vendors that all pickups and deliveries of goods must be coordinated through the Purdue Fort Wayne Special Events office to ensure vendor access to building and/or rental space.

No furniture or decorative objects belonging to Purdue Fort Wayne may be moved from their respective positions without the permission of the Purdue Fort Wayne Special Events office. Renter is responsible for making arrangements for renting equipment needed for event. The Purdue Fort Wayne Special Events office has a limited amount of tables and chairs for use.

Nothing may be nailed, tacked, taped, hung, stapled or affixed in any way to the facility, inside or outside. All decorations, other than free standing, must be approved by the Special Events office. In no manner will renter permit any employee, guest or contracted party to deface, damage or otherwise injure Purdue Fort Wayne property or its facility.

Purdue Fort Wayne Special Events staff does not set up or break down equipment or furniture for the event with the exception of Purdue Fort Wayne owned tables and chairs. Due to liability, renter and/or caterer must provide adequate staff for set up, event and breakdown. 

Renter is responsible for picking up all decorations at completion of event.
Renter is responsible for providing decorating details for event to Purdue Fort Wayne Special Events office no later than five (5) business days prior to your event.

Cancellation Policy
All cancellations of scheduled events in the Iris Children’s Garden by renter must be received in writing to the Special Events office of Purdue Fort Wayne no later than 14 days prior to the scheduled event date. Events that cancel less than 14 day prior to event date may incur late fees and/or clean-up surcharges. Purdue Fort Wayne retains the right to cancel this contract with written notice at any time for the following reasons: misrepresentation of the event, lack of insurance, bounced deposit or utility finder check, threats of violence or actual violence to any Purdue Fort Wayne employee or subcontractor by renter’s employees or subcontractors, threats of damage or actual damage to Purdue Fort Wayne facilities by renter’s employees or subcontractors, damage or theft of Purdue Fort Wayne property by renter’s employees or subcontractors or failure to abide by the terms and conditions of this rental contract. Cancellation by Purdue Fort Wayne for any of the above mentioned reasons will result in the loss of the entire rental amount

Inclement Weather
In the event of actual or anticipated inclement weather, renter is responsible for obtaining an alternate event location. Clients may rent additional space in a Purdue Fort Wayne building. You are encourage to talk with your event coordinator about rain sites for your event.

Let the community know what’s happening.

On campus, open events that sponsored by the athletics department, music, theatre, PSGA, and Student Life, or hosted in Special Events venues may, upon the approval of the director of Special Events, have access to placing messages on the marquee. Check out the guidelines to see if you qualify, then send us a request.

Scheduling priorities

Plan ahead.

Special Event venues are available to students, faculty, staff, university and non-university groups for meetings, special events, and private use. Fees are assessed where appropriate for using this facility, according to established rates.

Should a conflict arise we encourage cooperation and flexibility. No confirmed reservation will be automatically “bumped” to accommodate a group with a higher priority. The current reservation holder must provide an email or written agreement to release space before scheduled events can be changed. Written confirmations, completed event planning forms, or rental agreements will be the deciding factor in cases of disputes. Reservations are handled on a first-come, first-served basis. Only one reservation can be held for events in planning stages.

  • Departmental Groups: up to 36 Months in advance
  • Student Government Association: up to 12 months in advance
  • Student Groups: up to 6 months in advance
  • External Groups: up to 24 months in advance

  • Departmental Groups: up to 24 months in advance
  • Student Government Association:  up to 6 months in advance
  • Student Groups: up to 3 months in advance
  • External Groups: up to 12 months in advance

  • Cosponsored Events: scheduling parameters will be determined by existence of rental fee.
  • Companies in Residence: will be classified as external groups.

Departmental Event
An event conceived, planned and hosted by any Purdue Fort Wayne school, college or other operational/financial department that pertains to their field or an internal departmental function. A department representative must be physically present at the event.

Student Groups Event
An event conceived, planned and hosted by an officially authorized and recognized student group or organization that is in good standing with Student Life. A representative of the Student Group must be physically present at the event.

External Group Event
An event conceived, planned and hosted by a group or individual that has no affiliation or association with a Purdue Fort Wayne department, college, office, or recognized student group. This category can include faculty, staff or students hosting an event for personal (or non-Purdue Fort Wayne) purposes.

Cosponsored Group or Event
An event conceived, planned and hosted by a group or individual that has no affiliation or association with Purdue Fort Wayne who then contacts a Purdue Fort Wayne department, college, office, or recognized student group to collaborate/fund/aid in putting on an event in a joint alliance. The event must meet the established co-sponsorship parameters in order to qualify for this status.

Company in Residence
A not-for-profit arts organization that is housed on Purdue Fort Wayne grounds but is not affiliated with the university. The current Companies in Residence at Purdue Fort Wayne are: the Fort Wayne Philharmonic and Youth Symphony, the Fort Wayne Children’s Choir, the Fort Wayne Area Community Band, Unity Performing Arts, Mikautadze Dance Theatre, Believe in a Dream, and Shakespearemachine.

Non-for-Profit
An external group that has a verified 501(c)3 status.

Know the rules and details of your rental contract.

Rental Space
Each venue rents separately per the contract terms. Additional items/spaces may be available for rental. Special Event staff reserves the right to enter any and all areas to enforce the rules and to limit the number of people in the area.

Rental Time

  • Your rental time begins at your scheduled access time. Be sure to leave adequate time for your service personnel to clean up at the end of the event.
  • Quarter day rentals (where applicable) are less than three (3) hours in length. Quarter day rentals that exceed three (3) hours will be charged the Half-day venue rental rate.
  • Half-day venue rentals are less than six (6) hours in length. Half Day rentals that exceed six (6) hours will be charged the Full Day venue rental rate.
  • Full day venue rentals are greater than six (6) hours and one (1) minute in length and less than twelve (12) hours.
  • Auer Lobby reception rentals are five (5) hours in length. Receptions extending beyond five (5) hours will be charged $100.00 per hour or partial hour.
  • Rentals beyond 12 hours will incur additional rental fees.
  • Events may NOT extend past midnight.

Certificates of insurance are due three days prior to your event date.

As a renter of a university space for an event, you are required to provide a $1,000,000 liability insurance policy naming Purdue University Fort Wayne as additionally insured.

Your personal homeowner’s insurance may offer coverage. It is your responsibility to contact them with the following requirements:

  • Certificate of Insurance shall be a minimum of $1,000,000 liability coverage.
  • Certificate Holder shall be:

  • Additional Insured Endorsement naming Purdue University Fort Wayne as additional insured. Please include the location and date of event on the certificate.

An Additional Insured Endorsement is generally a separate page attached to the certificate that states, “This endorsement changes the policy.” Your insurance carrier may charge an additional fee for the Additional Insured Endorsement.

The Additional Insured Endorsement should include the following language:

In consideration of their use of university premises, (RENTER) agrees to hold harmless the Trustees of Purdue University, Purdue University, and each of their respective officers, appointees, agents and employees, from and against any loss, costs, damages, and expenses including attorney’s fees, arising out of or resulting from claims or suits, by or on behalf of any person, for injury to any person, including death, arising out of their use in the above named activity.

Please be advised that the insurance provided is primary coverage of Purdue University Fort Wayne with respect to any insurance or self-insurance programs maintained by the University, and no insurance held or owned by the University shall be called upon to contribute to a loss.

Insurance provided by (RENTER) must cover all operations of the special event including but not limited to; participants, subcontractors, vendors, exhibitors, volunteers, guests, etc. If (RENTER) policy excludes any activity or group involved in the special event, (RENTER) must provide proof of insurance as required by this agreement and must furnish separate certificates for each group or activity not included or covered by (RENTERS) insurance.

This rental agreement is entered into in Indiana and shall be governed by and construed in accordance with the substantive law (and not the law of conflicts) of the State of Indiana. Courts of competent authority located in Allen County, Indiana, shall have sole and exclusive jurisdiction of any action arising out of or in connection with this agreement, and such courts shall be the sole and exclusive venue for any such action.

Renter warrants and certifies that in the performance of this Agreement it has complied with or will comply with all applicable statutes, rules, regulations and orders of the United States, and any state or political subdivision thereof, including laws and regulations pertaining to labor, wages, hours and other conditions of employment, and applicable price ceilings, if any, and that the goods or services delivered hereunder shall be produced or performed in compliance with the Fair Labor Standards Act.

Purdue Fort Wayne retains the right to cancel this contract with written notice at any time for the following reasons: misrepresentation of the event, lack of insurance, deposit check returned by bank, threats of violence or actual violence to any Purdue Fort Wayne employee or subcontractor by renter’s employees or subcontractors, threats of damage or actual damage to Purdue Fort Wayne facilities by renter’s employees or subcontractors, damage or theft of Purdue Fort Wayne property by renter’s employees or subcontractors or failure to abide by the terms and conditions of this rental contract. Cancellation by Purdue Fort Wayne for any of the above mentioned reasons will result in the loss of the entire rental amount. Canceled events will be subject to cancellation fees established by Purdue Fort Wayne. Renter is made aware of these fees prior to signing contract. Any cancellation by the renter must be received in writing in the Special Events office. Venue deposits and event payments are nonrefundable.

Purdue Fort Wayne’s obligation to make the facility available will be relieved if anything outside of its control prevents the facility from being available at the date and time scheduled for the event. This includes such occurrences as natural disaster, fire, destruction, war, governmental order, quarantine, or other forces or events outside of Purdue Fort Wayne’s control. If such occurs, Purdue Fort Wayne will refund the Renter’s deposit and fee already paid in full, but will have no other liability on account of such cancellation or unavailability of the use of its facility. Purdue Fort Wayne has the right, but not the obligation, to monitor the Renter’s use of the Facilities and Equipment. If Purdue Fort Wayne determines, within its sole and absolute discretion, that continued use of the Facilities and Equipment poses a risk to the safety of any person, Purdue Fort Wayne may terminate the Renter’s rights under this Agreement and/or immediately remove (or have removed) all or any individual(s) from the Facilities and Equipment.

Renter agrees not to make reference to Purdue Fort Wayne in any external advertisements without prior written approval from Purdue Fort Wayne. Furthermore, Renter agrees not to use Purdue Fort Wayne’s logos and licensed trademarks without the expressed written permission of Purdue Fort Wayne.

Fire Safety
Purdue Fort Wayne enforces fire protection safety codes and is subject to inspection by the City of Fort Wayne Fire Department. No pyrotechnic devices, smoke/fog machines or open flame are allowed without prior written consent from Purdue Fort Wayne. Candles may be used if side glass enclosure fully extends beyond flame height. All fire aisles and exits must be kept clear of equipment and people. No smoking is allowed anywhere in the buildings. For the Music Center there is no standing allowed in the aisles or on the stairs in the upper sections during the show. Failure to follow these rules will result in the immediate suspension of the event until the conditions are corrected. If they are not corrected, the event will be cancelled without refund to the Renter.

OSHA
Purdue Fort Wayne is committed to providing a safe, clean environment for both our patrons and employees. For the safety and well-being of all facility users, patrons and vendors are expected to conduct their event in a manner which respects the rights of all users. OSHA regulations are observed by our facility and we mandate the same high standards for all of our contractors and service providers. Compliance with OSHA regulations is the responsibility of the RENTER and their contractor. OSHA mandated personal protective equipment must be utilized at all times. RENTER is required to secure all cables, including electric and/or audio/video, in walkways and guest areas.

Smoking
Purdue Fort Wayne is a 100% smoke free campus. All forms of tobacco use, including cigarettes, cigars, bidis, smokeless/spit tobacco, hookahs, blunts, pipes, e-cigarettes, and snuff are prohibited. This applies to all campus grounds including parking lots, athletics facilities, event venues, classrooms and common areas.

Venue Deposit
Reservation dates are bound by the first deposit and contract received on a “first come, first served” basis. The terms of this Agreement are conditioned upon the receipt by Purdue FW of a deposit in the amount of _____________________ (the “Deposit”) from Renter on or before _____________________ (“Deposit Deadline”). If Purdue FW does not receive the Deposit on or before the Deposit Deadline, this Agreement shall be null and void and the reservation will be released. Deposits are non-refundable but will be applied to Rental Fees as follows; first, to any damage or theft to the Facilities or Equipment during Renter’s use of the Facilities and Equipment, as determined by Purdue FW, in its sole and absolute discretion; and second, to the Rental Fees, however if Renter fails to comply with Purdue FW’s policies and procedures the Deposit shall be forfeited and shall not apply to Rental Fee. As a signer of this contract, you are responsible for any damage or theft at replacement value. Any payments made to Purdue Fort Wayne are forfeited and non-refundable.

Invoice and Payment
Payment can be made by credit card or check payable to Purdue Fort Wayne. 50% of the venue rental fee is due and payable, along with a signed rental agreement, by the deposit deadline in Section 13 above. Remainder of balance for Venue and Equipment Rental, as noted in Attachments “A” and “B” below, is due a minimum of three days prior to your event. Failure to pay may result in cancellation of your event. Labor fees and charges for items added during event will be billed after the event. Renter agrees to pay post-event invoice within 30 days of invoice date. 

If Renter or any of Renter’s staff, volunteers, participants, invitees, licensees, and/or any individual(s) on or near the Facilities and Equipment as a result of Renter’s use of the Facilities and Equipment under this Agreement causes damage to Purdue Fort Wayne Facilities and Equipment, other than ordinary wear and tear, Renter shall pay any costs associated with repairing the damage and restoring the Facilities and Equipment to their condition prior to Renter’s use thereof. Renter’s Deposit shall be applied to any costs under this Section and Renter will be responsible for any additional costs in excess of the Deposit.

All listed prices are subject to change and are based on availability of equipment/personnel. Credit cannot be given for equipment or personnel ordered and not used. Renter understands that labor charges are estimates and may vary depending on actual needs.

Catering
No food or beverage of any kind will be permitted to be brought into the Purdue Fort Wayne event facility other than by the contracted caterer. The Renter is fully responsible for all arrangements and any contract entered into with any caterer of the event. Except when alcoholic beverage service is included as part of the event, Purdue Fort Wayne’s open catering policy allows food service from any caterer licensed by the State of Indiana. No homemade items may be sold or served at this facility. All caterers must be self-contained. Your catering contract must include all table linens for meals and servings stations as well as adequate clean up immediately following the event. Caterers may only utilize propane stoves or grills generating smoke outdoors. Caterers must collect all trash generated from the event on the night of the event and place it in a nearby dumpster.

Alcohol Beverages
Alcohol may only be served in limited areas at Purdue Fort Wayne. If alcoholic beverage service is planned as a part of your event, only Purdue Fort Wayne approved vendors may be used. Certain criteria must be met to comply with the campus alcoholic beverage service policy. When alcoholic beverage service is planned as part of a rental event, fees for security and additional staffing will be added to the rental charges. A list of current approved caterers is available from the Special Events office. All alcoholic beverages must be served by a licensed bartender with a copy of their alcohol permit on file. Absolutely no alcoholic beverages may leave the designated reception area for any reason. If serving or selling alcohol, Renter is responsible for and must abide by all city, county and state alcoholic beverage control laws and regulations, and arrange for appropriate license(s), permit(s), and insurance certificate(s), which copies must be provided if requested to Purdue Fort Wayne Events Office at least five (5) business days prior to the event. Renter must also complete the Purdue Fort Wayne Alcoholic Beverage Service (AB1) form and submit to Purdue Fort Wayne Events Office no less than four (4) weeks prior to event. Renter is responsible for all consequences of guest behavior during and following the consumption of alcohol. Purdue Fort Wayne security and staff retain the right to limit the amount of alcoholic beverages being consumed by you or your guests. “Last call” for alcohol shall be at least forty-five (45) minutes prior to the scheduled end of your event or reception. If Renter provides, or causes to be provided, alcohol not in accordance with the above policies, Purdue Fort Wayne retains the right to end Renter’s event immediately and without further explanation.

Purdue Fort Wayne reserves the right to eject, or cause to be ejected from the premises, any person or persons (including unruly and unsupervised children) engaging in disruptive, belligerent or threatening conduct. Purdue Fort Wayne reserves the right to refuse admission to any person displaying the above behaviors or who appear intoxicated. Purdue Fort Wayne shall not be held liable for any damages by the applicant through exercising this right.

Restrictions
There are no controlled substances, commercial advertising or firearms allowed on Purdue Fort Wayne premises.

Safety
Renter agrees to abide by and comply with directions and instructions issued by uniformed Purdue Fort Wayne police and security officers.

Background Checks
If fabrication, construction, installation, service, delivery or other work is specified to be conducted on the Purdue Fort Wayne premises, the Renter and their subcontractor(s), if any, shall perform security clearance background checks on all Renter's and/or its subcontractor(s)'s officers, agents, employees, or volunteers assigned to have access to the University's premises to identify whether any such individual is a registered sex offender pursuant to Zachary's Law, Ind. Code § 11-8-8 et. seq. or the equivalent law of the individual's state of residence. Renter and/or its subcontractor(s) shall not assign any individuals identified as registered sex offenders to perform work or services at the Purdue Fort Wayne premises. Purdue Fort Wayne reserves the right to immediately remove any individuals identified as registered sex offenders from the premises. Purdue Fort Wayne reserves the right to require additional background checks be made on any of Renter's and its subcontractor(s)'s officers, agents, employees or volunteers assigned to have access to the Purdue Fort Wayne premises.

The following decorations are specifically prohibited at Purdue Fort Wayne—confetti (static and cannons), glitter, stickers, spray paint, liquid paint, burning objects, helium balloons, rice, streamers, or poppers.

Bubbles and flower petals may be used outside of buildings only. Balloons are allowed in approved areas, they are not permitted to be released outdoors within the school grounds.

  1. All decorations and equipment must be delivered and set up on the same day as the event, and removed at the conclusion of the event unless other arrangements are premade with the Special Events office. Purdue Fort Wayne reserves the right to bill the sponsoring party for removal of any left items. Please inform your vendors that all pickups and deliveries of goods must be coordinated through the Special Events office to ensure vendor access to building and/or rental space.
  2. No furniture or decorative objects belonging to Purdue Fort Wayne may be moved from their respective positions without the permission of Special Events.
  3. Renter is responsible for making arrangements for renting equipment needed for event. Purdue Fort Wayne has a limited amount of additional tables and chairs for rent/use.
  4. Nothing may be nailed, tacked, taped, hung, stapled, or affixed in any way to the facility, inside or out. All decorations, other than free standing, must be approved by the Special Events office. In no manner will renter permit any employee, guest or contracted party to deface, damage or otherwise injure Purdue Fort Wayne property or its facility.
  5. Candles must be dripless and enclosed in a glass container of sufficient height to cover potential flame.
  6. Purdue Fort Wayne Special Events staff does not set up or break down equipment or furniture for the event with the exception of Purdue Fort Wayne owned tables and chairs. Due to liability, renter and/or caterer must provide adequate staff for set up, event and breakdown.
  7. Renter is responsible for picking up all decorations at completion of event.
  8. Please contact your coordinator a minimum of two weeks prior to your event to determine set up arrangements.
    1. You will need to approve all event diagrams provided to you a minimum of seven days prior to your event.
    2. A standard room set up (or default diagram) will be provided for your event if our office is not contacted by you at least seven days prior to your event.
  9. Only Special Event staff members are authorized to relocate furnishings due to fire codes.

All technical requirements and arrangements will be agreed upon between Renter and Purdue Fort Wayne prior to event date. If Renter provides qualified operators for the lighting board, audio console, or other audio-visual equipment, Purdue Fort Wayne will still require systems technicians for each category in operation. Purdue Fort Wayne retains the right to determine operator qualifications. Unless otherwise requested, Renter agrees to provide staff for loading and unloading of their equipment and for use on stage as audio and staging assistants. Purdue Fort Wayne has basic microphones, and lighting available, labor fees for use may be required. If Renter requires any specialized equipment that Purdue Fort Wayne does not have, Renter agrees to provide said equipment for their event with no cost to Purdue Fort Wayne.

Purdue Fort Wayne will allow your merchandising representatives to sell T-shirts, records, tapes, CD’s, and souvenirs. Purdue Fort Wayne will provide a table, chairs, and power. Purdue Fort Wayne retains 15% of the gross sales as a University percentage. This information must be forwarded to the renter‘s merchandising representative. Renter is responsible for this percentage if the merchandising representative underpays or refuses to pay. No giveaway stickers are allowed.

For general admission, Purdue Fort Wayne requires one usher per 250 patrons, with a minimum of two ushers. We will provide two ushers at no charge, extra ushers are available for an additional charge, or may be provided by the applicant. Purdue Fort Wayne ushers are not security staff.

Purdue Fort Wayne retains the right to require Purdue Fort Wayne police officers at any event as determined necessary by the Purdue Fort Wayne chief of police. Renter is responsible for labor charges incurred by their event. All events involving alcohol will require a Purdue Fort Wayne police officer during the service of alcohol.

The facilities are closed on school-recognized holidays including Martin Luther King Jr. Day, Memorial Day, Fourth of July, Labor Day, Thanksgiving, Christmas and New Year’s.

  • Renter agrees to remove all items belonging to the renter at the conclusion of the event (including outside decorations). Purdue Fort Wayne is not responsible for any items remaining after the event that belong to the renter or the renter’s guests.
  • Renter and/or caterer agree to leave facility and grounds “Broom Clean” or in the condition in which they were found when the doors were opened for set-up.
  • Tables and chairs must be cleaned and returned to their proper areas and/or racks.
    All decorations, food and drink container products and all trash must be collected in plastic bags. For all events serving food, Renter and/or Caterer shall collect all trash generated from the event on the night of the event and place it in a nearby dumpster.
  • Caterers must leave all food preparation and serving areas neat and clean. This includes, but is not limited to the kitchen and all other surfaces used which have food or spillages, including all floors.
  • Renter will reimburse Purdue Fort Wayne at cost for the labor, supplies, and/or equipment needed or expended should Purdue Fort Wayne find it necessary, in their sole opinion, to do further cleaning, removals, or repairs to return the area to its original condition.
